Communication is Key: Scoutlander Basics

Communication is important to being able to efficiently do what you want to do. ScoutLander will work well if you know how to use it. So here are the basics:

Our district's website is at http://gssemdistrict0403.Scoutlander.com. This address gets you to the PUBLIC SITE, where you will find the publicly available pages for our district and general resources. Once you have an account, you can log in to see the PRIVATE SITE from here.

To access our PRIVATE SITE, which contains information and photos only district members can see as well as the system for emailing, you need an invitation and a password. Everyone should already have gotten the invitation. You will have 5 days to accept the invitation. If you need a new invitation, email the site administrator (Josephine Starceski pjstarceski@comcast.net). Use the invitation to get to Scoutlander and log on. Tell it you want to stay logged on. Then, put your password in a safe place and forget about it. Thereafter, you can just go to www.scoutlander.com and select your site, which will be appear as "SU Service Unit 403 Website Clinton Twp., Michigan". You no longer need to use the longer address and enter the password, as long as you stay logged in.

If you would like notices and reminders to go to a second email account for the same person, you can add it in My Profile (see below). If you would like to add an additional adult, email the site administrator with the name and email address and ask for an invitation. It is always good to have all of the adult volunteers (02's) for a troop included in the Scoutlander system, if possible.

PRIVATE SITE - Site Organization: See the left side bar for the different features. The first thing you see after Welcome is January. Select it and see the information shared with the district in January. Additional months or topics will be added as the year progresses.

My Profile

Next, check your profile using the My Profile feature (see left sidebar). After selecting it you should see your name. Click Edit Profile in the upper right corner. Update it with your primary leadership role and additional roles. You can add a second email address if you have more than one. In the additional roles box, be sure to list your school first followed by troop number, other positions, etc.

Scroll down and you see Phone and Address. Fill in the information to share with the group. No scouts are to be selected or added. This site is for adult volunteers only. You can create a site for your own troop, though. Scroll all the way down to specify My Groups.  Select specific school, grade level, etc. When you are finished, click Save at the bottom right corner.

Note to the Administrator: You "invite" people to join by entering their name and email address. Additional edits to the profile need to happen after the person has accepted the invite. Review from time to time to update access, groups, etc.

Event Calendar

The Event Calendar is your gateway to life in District 0403. Hosting an event? YOU are able to add it to our district's calendar to advertise this opportunity! When you click on Event Calendar, you will get the calendar page for the current month. You can use the options on top to jump to any month you want, including past months.

Clicking on an event brings you to a new page with the Event Info, Date and Time, RSVP Options, Location and Message areas to update. There is also a button for a Photo Album, to which you can upload and view photos of the event after it occurs, and download any photos you want. Please put your photos up so we can all see.

Scroll down and find Attachments related to the event. This is where you will attach any documents related to the event. Invitees will get a reminder 48 hours ahead of time for any event that is applicable to them.

When an RSVP is required, each person invited (by group or entire district) is listed here alphabetically. Find yourself and click on the blue Response link. Since we are using this site for adult volunteers ONLY, write any notes needed to communicate in the box, and click Save. Make sure to send in or bring your payment to the event, if there is a cost associated with the event.

Broadcast System

Use the Broadcast System feature (see left sidebar) to send messages by school, grade level and more! Anyone can send email - scouting purposes only. Begin by selecting your group or individuals. Change the Group Filter from “<entire service unit>” to “Group” and select who you want your message to reach.

Next, you can link to an event on the calendar. Step 3 allows you to attach a document file to your email. Once you Choose File, make sure to Upload the file. In Step 4, you give your email a Subject and write your message. You can Preview the finished email – it will actually send you a copy of the email. Then go back and Send Now. Messages sent can be retrieved up to 30 days from being sent.

Share your approved events! Look for a higher grade level troop for bridging! Seek help from other leaders! Try it, today!

Adult Search

Under the Adult Search feature (see left side bar) view all members in the district. As long as that person has updated their profile, you will find their contact information. Do you want to locate troops within a school? See the steps below:
  • Click on Batch Editor in orange print above the listing to see more details in either "simple" or "advanced" format.
  • Click on Change Columns to view the "advanced" format to see the most information.
  • Click on the column title Other Roles and the column will be sorted by school, troop number that was entered.
  • If you want to print it, copy and paste into Word or Excel and format the information as you desire.

Note: Clicking on any column heading will sort the data based on that heading.

Knowledge Base

Using the Knowledge Base feature allow us to document and share ideas, activities and tips with each other. There are a couple of articles posted. Feel free to post information you would like to share as a resource with each other. Maybe something along the lines of "My Great Idea", in addition to sending an email to the group. This site becomes an excellent resource for everyone supported by everyone--use it!
